Exports

Overview

The Exports feature allows merchants to download customer and transaction data in various file formats. Exports respect currently applied filters, search terms, and sorting, making it easy to extract specific data segments for analysis, reporting, or external use.

Accessing Exports

Export Customers:

  1. Navigate to Customers Data
  2. Apply filters, search, or sort (optional)
  3. Click Export button

Export Transactions:

  1. Navigate to Transactions
  2. Apply filters, search, or sort (optional)
  3. Click Export button

Export Process

Step 1: Configure Export

Select Data Source:

  • Applied filters automatically included
  • Search terms automatically included
  • Current sort order automatically included

Choose File Format:

  • CSV (Comma-separated values)
  • XLSX (Microsoft Excel)
  • TSV (Tab-separated values)

Select Fields:

  • Choose which data columns to include
  • Available fields depend on data source
  • Select all or specific fields only

Step 2: Request Export

  1. Review export configuration
  2. Click Generate Export
  3. Export job queued for processing
  4. Confirmation message displayed

What Happens:

  • Export job dispatched to background
  • File generated with selected data
  • File stored in secure filesystem
  • Email sent when ready

Step 3: Download Export

Email Notification:

  • Sent to store owner email
  • Subject: "Your export is ready"
  • Contains download link
  • Link valid for 30 days

Download:

  • Click link in email
  • File downloads immediately
  • Can download multiple times within 30 days

Step 4: File Storage

Storage Details:

  • Files stored securely for 30 days
  • Accessible via email link or app
  • Automatically deleted after 30 days
  • Download multiple times during storage period

File Retention

Export files are automatically deleted after 30 days for security and storage management. Download and save files locally if you need them long-term.

Customer Exports

Export customer data with configurable fields and filters.

Available Fields

Customer Information:

  • Shopify Customer ID
  • Customer Name (Full Name)
  • Email Address
  • Exclusion Status (excluded or active)

Points Information:

  • Points Balance (current available points)
  • Total Points Earned (lifetime)
  • Total Points Claimed (lifetime)
  • Total Points Redeemed (lifetime)
  • Spent to Earn Points (total order value)
  • Spent to Redeem Rewards (total order value with rewards)

Date Information:

  • Account Created Date (shop anniversary)
  • Birthday
  • Last Activity Date

Loyalty Program Information:

  • Customer Tier (if applicable)

Filter Application

Exports respect currently applied filters:

Example 1: High-Value Customers

Filters Applied:
- Points Balance: 1000+ points
- Customer Tier: Gold or above
- Last Activity: Last 30 days

Export Result:
Only customers matching all filters included

Example 2: Birthday Campaign

Filters Applied:
- Birthday: Current month
- Points Balance: 100+ points

Export Result:
Customers with birthdays this month who have points

Example 3: Inactive Customers

Filters Applied:
- Last Activity: More than 90 days ago
- Points Balance: 1-500 points

Export Result:
Customers who haven't engaged recently but have low balances

Sort Order

Exports maintain current sort order:

Examples:

  • Sorted by Points Balance (descending) → Export lists highest balances first
  • Sorted by Last Activity (ascending) → Export lists oldest activity first
  • Sorted by Customer Tier → Export groups by tier

Transaction Exports

Export transaction data with configurable fields and filters.

Available Fields

Transaction Information:

  • Transaction ID
  • Transaction Type (Order, Signup, Claim, etc.)
  • Points Change (positive or negative)
  • Message/Description
  • Date and Time Created
  • Expired Status (Yes/No)

Customer Information:

  • Customer Shopify ID
  • Customer Name
  • Customer Email

Related Information:

  • Order ID (for order transactions)
  • Discount Code (for reward transactions)
  • Gift Card Code (for gift card transactions)

Filter Application

Exports respect currently applied filters:

Example 1: Campaign Analysis

Filters Applied:
- Date Range: June 1-30, 2024
- Transaction Type: Order
- Points Change: 100+ points

Export Result:
High-value order transactions during June

Example 2: Reward Redemption Report

Filters Applied:
- Transaction Type: Claim, Redeem
- Date Range: Last 90 days

Export Result:
All reward activity in past 3 months

Example 3: Adjustment Audit

Filters Applied:
- Transaction Type: Adjustment
- Date Range: Last year

Export Result:
All manual adjustments for audit trail

Sort Order

Exports maintain current sort order:

Examples:

  • Sorted by Date (descending) → Export lists most recent first
  • Sorted by Points Change (descending) → Export lists largest transactions first
  • Sorted by Transaction Type → Export groups by type

TSV (Tab-Separated Values)

Export Planning

Before Exporting:

  • Apply filters to narrow data
  • Select only needed fields
  • Choose appropriate file format
  • Verify sort order

Consider:

  • File size for large datasets
  • Storage location for downloaded files
  • Frequency of exports needed
  • Data sensitivity and security

Data Management

Organize Downloads:

  • Use descriptive filenames
  • Store in organized folders
  • Back up important exports
  • Delete unnecessary files

Security:

  • Download to secure location
  • Don't share exports publicly
  • Delete from email after download
  • Clear old exports from storage

Performance

For Large Exports:

  • Exports may take time to process

Monthly Reporting

Process:
1. Navigate to Transactions
2. Filter: Date Range = Last Month
3. Select all fields
4. Export as XLSX

Customer Segmentation

Process:
1. Navigate to Customers
2. Filter: Points Balance = 1000+
3. Select: Name, Email, Balance, Tier
4. Export as CSV
5. Import to email marketing tool

Audit Trail

Process:
1. Navigate to Transactions
2. Filter: Transaction Type = Adjustment
3. Filter: Date Range = Last Year
4. Select all fields
5. Export as XLSX
6. Archive for compliance

Data Backup

Process:
1. Navigate to Customers
2. No filters (all customers)
3. Select all fields
4. Export as CSV
5. Store securely as backup

Summary

The Exports feature enables merchants to download customer and transaction data in multiple file formats (CSV, XLSX, TSV). Exports automatically apply currently active filters, search terms, and sort orders, allowing precise data extraction. Merchants can select which fields to include in the export. Files are generated in the background, stored securely for 30 days, and delivered via email when ready. Export history tracking allows re-downloading files within the storage period. Use exports for reporting, analysis, marketing campaigns, data backups, and compliance auditing.
