Transactions

Overview

The Transactions page provides a comprehensive view of all loyalty program transactions across all customers. Search, filter, and sort transactions to analyze points activity, track earning and redemption patterns, and identify trends in your loyalty program.

Accessing Transactions

  1. Open Keystone Loyalty Rewards app
  2. Navigate to Transactions

Transaction List View

The main transactions page displays all transactions with key information:

Displayed Information:

  • Transaction type
  • Points change
  • Message/Description
  • Expired status (Yes/No)
  • Created at (date and time)

Searching Transactions

Search transactions by the customer who owns them.

Search by Customer Shopify ID

Find all transactions for a specific customer using their Shopify customer ID.

How to Search:

  1. Enter Shopify customer ID in search field
  2. Results show all transactions for that customer
  3. Click transaction to view details

Use Case: Quickly review all activity for a specific customer when handling support requests.

Filtering Transactions

Apply filters to narrow down the transaction list based on various criteria.

Date Range

Filter transactions by when they occurred.

Configuration:

  • Start date (from)
  • End date (to)

Examples:

Last 30 Days:
Start: 30 days ago
End: Today

Specific Month:
Start: June 1, 2024
End: June 30, 2024

Q1 2024:
Start: January 1, 2024
End: March 31, 2024

All Time:
Start: [blank]
End: [blank]

Use Cases:

  • Monthly loyalty program reports
  • Campaign performance analysis
  • Seasonal trend analysis

Transaction Type

Filter by specific transaction types.

Available Types:

Earning Transactions:

  • Order
  • Sign up
  • Newsletter subscription
  • Birthday
  • Anniversary
  • Store visit
  • Referral
  • Facebook like
  • Instagram follow
  • Twitter follow
  • TikTok follow
  • Pinterest follow
  • YouTube subscribe
  • Retroactive order
  • Retroactive signup
  • Retroactive newsletter subscription
  • Tier bonus

Spending Transactions:

  • Claim (reward claimed)
  • Redeem (reward used)

Other Transactions:

  • Adjustment (manual point adjustments)
  • Refund (reward refunds)
  • Import (points imported)
  • Inactivity expiration (expired points)

Use Cases:

  • Analyze specific earning rule performance
  • Track reward claim patterns
  • Review manual adjustments

Example: Filter for "Order" transactions in the last 30 days to see purchase-driven points activity.

Points Change

Filter transactions by points amount.

Configuration:

  • Minimum points
  • Maximum points

Examples:

Large Point Gains (500+ points):
Min: 500
Max: [blank]

Point Losses Only (negative):
Min: [blank]
Max: -1

Small Transactions (1-50 points):
Min: 1
Max: 50

Specific Range (100-500 points):
Min: 100
Max: 500

Use Cases:

  • Identify high-value transactions
  • Review large manual adjustments
  • Find reward claims by point value

Sorting Transactions

Sort the transaction list by various fields in ascending or descending order.

Sortable Fields:

Default: Most recent transactions first (descending by date).

How to Sort:

  1. Click column header
  2. Click again to reverse order
  3. Sort indicator shows current direction

Transaction Statistics

The Transactions page displays aggregate statistics across all transactions (or filtered selection):

Total Earned Points

Sum of all positive point transactions from earning rules.

Includes:

  • Order points
  • Signup points
  • Birthday/anniversary points
  • Social media points
  • Retroactive points
  • Tier bonus points
  • Manual positive adjustments

Excludes:

  • Reward claims (negative)
  • Point refunds

Use Case: Measure total points distributed to customers.

Total Claimed Points

Sum of all points spent on reward claims.

Includes:

  • All reward claims (Claim transactions)

Excludes:

  • Points earned
  • Points redeemed (tracked separately)

Use Case: Measure total points removed from customer balances.

Total Redeemed Points

Sum of all points that have been actually redeemed through reward usage.

Includes:

  • All Redeem transactions (when rewards are actually used)

Difference from Claimed:

  • Claimed = points spent to get reward
  • Redeemed = reward actually used

Use Case: Measure actual reward usage vs. just claiming rewards.

Example:

Total Points Claimed: -12,312 (negative, points deducted)
Total Points Redeemed: 20,719,885

Interpretation:
- Customers claimed rewards worth 12,312 points
- Total redemptions across all time: 20,719,885 points

Total Spent to Earn

Sum of all order values that generated points for customers.

Calculation:

  • Based on order transactions
  • Includes order subtotal, taxes, shipping (depending on configuration)
  • Reflects actual revenue that drove point earning

Use Case: Calculate loyalty program ROI and cost per point.

Example:

Total Earned Points: 20,749,590.81
Total Spent to Earn: €105,320
Point Cost: €0.005 per point earned

  • Transaction ID
  • Transaction type

  • Message/Description
  • Expired status
  • Date and time created

How Links Work:

  • Click transaction to expand
  • Click relevant "View in Shopify" link
  • Opens in new tab

Use Cases:

  • Verify order details
  • Check discount usage
  • Review gift card balance
  • Investigate transaction details

Combining Filters

Apply multiple filters simultaneously for detailed transaction analysis.

Example 1: Campaign Performance

Filters:
- Date Range: Campaign dates
- Transaction Type: Order transactions
- Tags: Campaign name

Result: See all order points earned during specific campaign

Example 2: High-Value Reward Claims

Filters:
- Transaction Type: Reward claims
- Points Change: Min 1,000
- Date Range: Last 30 days

Result: Large reward claims in recent period

Example 3: Retroactive Points Analysis

Filters:
- Tags: retroactive
- Transaction Type: Order transactions
- Date Range: When retroactive feature was run

Result: All retroactive points awarded

Summary

The Transactions page provides comprehensive visibility into all loyalty program activity across your customer base. Use filters to analyze specific transaction types, date ranges, or point values. Aggregate statistics give you insight into total points earned, claimed, and redeemed, as well as the revenue associated with earning and redemption activity. Export capabilities allow you to perform deeper analysis in external tools or generate custom reports for stakeholders.
